It’s likely that you have already identified your new office or you may be looking to refurbish an existing office. In any case, there’s a great opportunity to make the statements you want to make about your company, your culture and your values. Our first goal is thus to get to know you, how you operation and what you believe is specifically unique about you… your business’ personality. From there the ‘juices’ properly flow and between you and our designers a number of concepts and ideas can be brought to life in 2D and 3D visualisations.
One of the fundamental considerations and one of the most significant costs when refreshing or creating a new office is furniture. It dictates everything from overall layout and space utilisation right the way through to the ergonomics of your environment. Furniture can be fun as well as practical and there is always an opportunity to use feature products to make a statement, liven up a particular area or provide different ways for staff and visitors to work and interact.
Expedite have access to every furniture manufacturer and wholesaler in the market and can either recommend, introduce and accompany you on showroom visits or work with your existing suppliers… or a mixture of both.
The Draft Cost Sheet already outlines the project scope of works and forms the basis of the specification for fitting-out. The specification can be used to obtain costs from existing contractors or to tender out to various contractors recommended by Expedite. In all cases it is important to understand exactly what is required and what is being quoted for. Making sure contractors provided like for like costings facilitates informed decisions rather than trying to unravel completely different approaches to delivery.
Our designers work closely with our Project Management team to produce pre-construction drawings and associated documentation including product specifications, schedules and scope of works.
These ‘working drawings’ form the basis of ‘as built’ drawings provided by the contractor and included in the Operating and Maintenance manuals (O&Ms).
Dependent upon the scope of works it may be that we need to apply for planning permission – to install a supplementary air conditioning condenser unit on the roof outside of the building for instance. In any case, the majority of works will require Building Control and so the local authority has to be notified and provided with the requisite information.
Expedite manage the whole process from initial consultation and notifications through to sign off and certification including site surveys and plan/documentation production.
On time and to budget – it’s not a goal, it’s a prerequisite.
It’s not just about delivering the project, it’s absolutely about delivering results! Our Project Managers work hand in hand with our Design Team to ensure the smooth flow of the delivery process and to ensure that everything is installed to the highest level of quality and workmanship.
Working closely with our designers, our project team turns the detailed design into tender documentation and issue directly to Client specified or to our own preferred contractors for accurate contract pricing. Using standard forms of contract (e.g. JCT) we pull the works into logical packages ensuring full contractual accountability and cost certainty.
We frequently procure furniture and other discrete / long lead items earlier and separately on order to safeguard the project timescales.
Once contractors are appointed we need to ensure that they do what they’ve said they are going to do, when they said they would do it and in the manner that we’ve set out. We also need to liaise and co-ordinate with your landlords Building Management as well as report to you on progress against budget and programme.
Even with the best laid plans things change and these changes are sometimes client driven and sometimes circumstantial, thus our role is not just about managing the project it’s about managing expectations in an often fluid environment.
The key to making sure the project is delivered on time and to budget are tenacity and communication from everyone involved.
Nothing is more important than the health and safety of everyone involved on the project and so we not only ensure close adherence to the design intent but also to the H&S Executive’s guidelines and the landlord H&S requirements.
We control Construction Design and Management (CDM) on every project where this is a statutory requirement employing recognised consultants to advise us before and during the works.
We have a non-compromising approach to quality as well as health and safety and pride ourselves on a two tier ‘snagging’ regime – ensuring that we pick up anything before you do!
Whilst our design team manage the Planning and Building Control aspects of the installation, our project managers provide the interface between all relevant parties, ensuring adherence to quality objectives, HSE directives and building regulations on site. We liaise with utility vendors and ensure that their delivery and services are factored into the project programme – the key here often being telecommunications circuits.

Our relocation team follow a detailed process and dovetail with our project managers to execute the physical relocation liaising with Client IT representatives and 3rd party support organisations.
We offer a temporary facilities management and IT Help Desk to assist with the typical post-move work load so that your staff face minimal disruption and a prompt response to questions and immediate support requirements.
